Your privacy is part of the program.
STW Corporate Wellness was built around one promise: employees can get real support without their employer watching. This page explains plainly what we collect, who can see it, and the choices you have.

The short version
- Employee wellness information stays confidential. Employers receive enrollment and billing information only.
- We never sell personal information.
- A small number of service providers help us run the program, and each receives only what it needs.
Information, by where it comes from.
When you contact us or book a discovery call
Your name, organization, email, phone number, website, and anything you tell us about your workforce, goals, or current benefits.
When an employer brings STW on
Organization name and industry, administrator contact details, number of covered employees, chosen plan and term, and billing information needed to invoice and process payment.
When an employee uses the portal
Work email, name if provided, and account status. Beyond that, only what each person chooses to add — wellness goals, notes, session bookings, meal and exercise plans, challenge and reward activity.
When someone applies to join our team
Applicant name and contact details, background and credentials, and the agreements submitted with the application.
When we reach out to businesses and benefit brokers
Publicly available business contact information — company name, work email, business phone, and the names and titles of HR or benefits contacts — plus notes from calls and emails.
We don't collect health records, diagnoses, medical history, or insurance information. Our sessions are wellness strategy, not medical care, and the portal is not a medical record system.
What your employer can and can't see.
This is the part most people ask about, so here it is side by side.
Visible to your employer
- That an employee was invited and whether the account is active
- The employee's name and work email on their roster
- How many people are enrolled
- Invoices, billing amounts, and their own account settings
Kept from your employer
- Notes or topics from virtual wellness strategy sessions
- Wellness goals, progress, or journal notes
- Meal plans, exercise plans, or challenge activity
- Reward history or messages with a Virtual Wellness Strategist
- When or whether an employee books a session
If an employer asks us for an employee's wellness details, we decline. Aggregated, anonymous participation figures may be shared so an organization can see that the program is being used — never anything that points back to an individual.
Access is limited by design.
The portal is separated by role — employee, employer, Virtual Wellness Strategist, appointment setter, and administrator. Each role can only reach the records it needs, and those limits are enforced on our servers, not just in the pages you see.
- Sign-in is protected by password, with email verification for password resets.
- Connections to the portal are encrypted in transit.
- Wellness records are only readable by the account holder and the strategist assigned to them.
- Staff access is limited to the people who need it to run your program.
Very little is stored in your browser.
This site doesn't run advertising trackers or sell browsing data. A small cookie remembers whether a menu was left open, and your sign-in session is kept in your browser so you don't have to log in on every click. Signing out clears it.
The services that help us operate.
Payment processing
A payment provider (Stripe) handles card transactions. We do not store full card numbers on our own systems.
Video visits
Virtual visits run on a secure video service (Daily) so employees and strategists can meet online.
Phone calls
A calling provider (Twilio) powers our business phone line, the in-browser dialer, and call logging.
Email and hosting
Cloud hosting, database, and email delivery services keep the portal running and your messages moving.
We may also disclose information if we are legally required to, or to protect the rights, safety, or records of STW, our clients, or the people who use the portal.
You stay in control.
- Ask us what personal information we hold about you.
- Ask us to correct information that is wrong.
- Ask us to close or delete your account and the wellness data attached to it.
- Ask your employer to remove you from their roster, which closes your access.
- Opt out of business outreach — just tell us and we'll stop contacting you.
How long we keep it
Account and wellness records are kept while the account is active. Invoices and billing records are kept as long as accounting and tax rules require. When you ask us to delete your wellness data, we remove it from the portal and pass the request on to the services that hold copies for us.
Not for children
STW is a workplace benefit for adults. The portal isn't directed at anyone under 18, and we don't knowingly collect their information.
If this policy changes
We'll update this page and the date at the top. If a change meaningfully affects how we use someone's information, we'll email the account holders as well.
